Dear Crossna,

I would like to personally invite your club to our spring club night on Thursday, May 18th 2017.  Please read the following rules regarding our clubnight program and be sure to communicate them to your membership!

1. Please confirm that your group will be attending by April 7th 2017.
2.  Your club night will take place at the MEC Vancouver store location, at 130 West Broadway and will run for 2 hours, 7:00-9:00pm.
3.  One week prior to the event (May 11th 2017) please provide an approximation of how many members plan to attend for staffing purposes.  As well, a designated club member is required to check in members at their table for the duration of the clubnight. If your table is left unattended, your members cannot be checked in by MEC staff, and they will not receive the discount. Please be sure to have your membership list with you!  Your club check-in leader should arrive between 6:30 and 6:50 pm for set-up.
4.  You are welcome to bring promotional materials for your club to set up a display at the event if you wish to do so.  Our store tables are 4 feet in size, so please plan accordingly.
5.  Your members will receive 10% off of all regularly priced items purchased that evening – including bikes and boats!  All items must be in stock and purchased through our tills that evening. The discount also does not extend to the following items:
Clearance items
All Blundstone products
Items that are out of stock/not available at the Vancouver location
Items that are already included in a packaged discount
6.  Members can put items on hold up to 48 hours before the event, and can be picked up at the Member Services Desk during the clubnight.  Items that have been purchased before the event cannot be returned and re-purchased at the discounted rate.  There are no exceptions to this rule.
7.  All participants must be members of Mountain Equipment Co-op in order to make a purchase. Lifetime memberships can be purchased during the event for $5.00.

Please ensure that members are aware they cannot return anything they buy in advance and repurchase it at a discount - I know last season there were a lot of members from Crossna who were not aware of this rule. As well, the discount only applies to regular priced items (no clearance). Thank you so much!

Hi Gloria,

Unfortunately, I will not be able to help with any wishlists your members have. We do bring in as many popular items as possible before each clubnight, but we can never guarantee every member is going to get every item they wanted. We host clubnights almost every week in the spring and autumn, so it is not possible to accommodate inventory requests from individual groups.

We have nine groups, including yours, coming next week so it is very likely that we are going to sell out of items like those you listed due to their popularly, as well as members of the public purchasing them themselves. I would encourage your members to put items on hold up to 48 hours before the clubnight to ensure they get them.

As a reminder, we have a strict no exception policy regarding members purchasing items in advance and returning them to get them at the discounted rate. As well, please ensure members know the discount only works on regular priced items, and only items that we have in stock as we had some members get very upset with our staff last year regarding those rules. Thank you!

Hi Gloria,

I just wanted to add another quick note regarding the Western Mountaineering bags. We tend to have stock of the lighter weight bags in stores, but most of the lower temperature rating bags are often special order only (they take a very long time to come in, so we often don't have store stock of them).

They are one of the items that typically aren't around for clubnights unfortunately. I just wanted to give you a heads up since you mentioned that on your list as well.
